Job Description

The purpose of this role is to ensure that all clients are set up correctly, communicate between teams and clients, billing, record financial transactions, and administrative duties.

Primary Responsibilities:

Client Management

Set up new clients in the billing system
Updating client’s billing and contact information
Creating credits and refunds for clients
Contact clients and team leads for incorrect billing information
Other specific requests

Administrative work

Creating new contracts and other documentation for new hires
Updating and creating contracts and other documentation for current employees
Creating and managing documentation for resigning employees
Tracking and recording PTO, Holidays, Paid Leave, Sabbatical, Sick Leave…
Creating reports for payroll deduction

Internal Accounting and Finances

Enter and archive bills in folders
Recording other financial transactions
Processing credit card payments
Monthly billing to clients - billing out payroll fees and other billable expenses
Other duties as assigned

Skills / Qualifications

Education BA Economics or related field – accepting authorized international diplomas Or High school diploma and 1 year of relevant experience
Strong English communication skills both written and oral
Experience with Excel and other MS Office applications required
Ability to work in a team and to proactively communicate expectations and project status extensively with both your assigned clients as well as internal teams
Ability to adapt and manage changes efficiently with accuracy and organization
Results-oriented approach with keen attention to high quality, details and accuracy, self-motivation, and desire to exceed expectations
Desire to build a long-term career within Jitasa
Customer service experience and volunteering at non-profits is a plus
No prior work experience required (any type of additional engagement - courses, internships, additional education in the field of administration are a plus)

Development/Growth expectations

Compensation expectations:
Administrative Assistant starting net salary approx. – 1470BAM (with meal and transportation allowance).
Hybrid Work (work from home or from office), Monday-Friday, 8 hours per day.

Note: “Expect occasional office runs.”
